Reporting to the Administrative Secretary

Duties

  • Managing the reception desk
  • Preparations and distribution of refreshments to employees and visitors
  • Ensuring the venue of meetings is organized and beverages served
  • Typing and Filing of documents
  • Reporting to the Administrative Secretary on issues of concern
  • Maintaining confidentiality of the Institute
  • Prepares or directs the preparation of minutes, notices, agendas, and correspondence with all supporting documentation, requiring the application of specialized knowledge of the assigned function.
  • Plans and arranges conferences, meetings and/or special events under general instructions from the supervisor; communicates arrangements to appropriate individuals.
  • Arrange necessary travel reservations and itineraries; anticipate and prepare background materials needed.
  • Any other duties as may be delegated from time to time

Knowledge, Skills and Abilities:

  • Knowledge of standard office policies and procedures.
  • Skill in developing and maintaining effective working relationships.
  • Skill in English composition, grammar, spelling and punctuation.
  • Knowledge in IT
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software
  • Ability to develop and maintain effective working relationships
  • Strong communication skills, both written and verbal, in English
  • Ability to handle confidential information with discretion.
  • Skill in prioritizing tasks and managing time effectively.
  • Ability to anticipate needs and proactively address issues.

 

Minimum Qualifications:

  • Diploma or Certificate in full Secretarial Course
  • Experience in secretarial/administrative work
  • Experience in the public and private sector
  • Flexible in working hours and working environment
